The pile of receipts on Friday is the workflow. Keep it.

For the owner of a small business with a handful of people who all drive and all buy things, and no one whose job is expenses. Receipts pile up in trucks and glove boxes all week; on Friday they land on a desk. Expense Horizon takes the pile as it is, and the owner, who is also the approver, sends one clean week to the outside bookkeeper.

Friday, the pile

Drop the whole stack. Review the list. Add them all.

Photos, PDFs, the lot, dropped at once. Multi-page PDFs are split into receipts; loose pages can be combined into one. Each receipt comes back read, with its vendor, date and amount, in a list you check once before adding the lot to the week. The auto-file dial is off by default: nothing is filed until someone looks at it. Turn it up and the confident reads file themselves, with one-tap Undo.

Everyone drives

Miles on the same week as the receipts.

Every person builds their day's trip from a home address and saved places, one tap per stop, and the legs are computed. Receipts and trips sit together on This Week, grouped by day, with the total, the miles and the receipt count up top. The owner sees each person's week under Team and approves it there.

The bookkeeper and the brand

One report to the outside bookkeeper. Your name on the door.

One click on Reports emails the signed, approved week to whoever does the books: Excel in the workbook they already use, or the house one, with a PDF of every receipt. And the workspace is yours: your own subdomain at yourcompany.expense.secondhorizon.app, your logo, your colour, checked in light and dark before you save.

  • Invite the bookkeeper with the accountant role if they want to look: read-only across the workspace.
  • Free up to 10 receipts a month per person; $12 a person a month after, stepping down at 10, 20 and 50.

How the week goes

Monday to Friday, from the owner's chair.

  1. 01Monday to Thursday

    Let them work.

    Receipts go in the truck, the glove box, the back pocket. Some people snap them as they go; most do not. Both land on the same week.

  2. 02Friday morning

    Drop the pile.

    Everyone drops their own pile into Bulk. Split, combine, review the list, add them all. Trips added from saved places.

  3. 03Friday afternoon

    Approve. Send. Done.

    Each person signs their week; you approve from Team. One click sends the Excel and the receipts PDF to the bookkeeper, in the workbook they already use.
