Expense Horizon

Your spreadsheet or ours. Same expense report either way.

The books expect one specific workbook, one cell per number. Keep it and we map it, or start with the house template. Every week comes out as Excel and a PDF of every receipt, signed, approved when a director is in the loop, and emailed to whoever does the books with one click.

Whose template

Weekly Excel is generated from an expense report template. Whose template is up to you.

Yours

Bring your own workbook

The spreadsheet your accountant already expects, one cell per number. Hand it to us and we map it.

  • Your rows, your columns, your totals, untouched.
  • Every week fills that workbook in for you.
  • Nobody inserts a row or saves the wrong version again.

Ours

Use the house template

No spreadsheet yet, or tired of the one you have? Start with ours.

  • Three sheets: the week by day and category, mileage, and every expense in detail.
  • Same signature, approval and email flow.
  • If the books hand you a spreadsheet later, we map that one instead.

Either way, the report comes out the same: Excel, a PDF of every receipt, emailed to the books, CSV whenever you need it.

Plainly

What is an expense report template?

The Excel workbook your accountant already reads: a cell for each day and category, a mileage block, a place for the signature. Expense Horizon fills that workbook in from the week, one cell per number, so the report that arrives looks exactly like the one that arrived last year, only nobody typed it. Hand us yours, or use the house one.

What comes out

Excel for the books. A PDF for the file. An email so nobody has to ask.

Reports is one screen per week: a pre-submission check that catches the missing receipt before your accountant does, then the buttons. The Excel report, the PDF of every receipt for the week, and Email, which sends both to whoever you name.

  • Weekly Excel from your workbook template, cell for cell.
  • A PDF of every receipt for the week alongside the Excel.
  • One click on Email sends the Excel and the PDF together, straight from the app.

Signed and approved

Your signature. Your director's approval. Both on the week.

When the week is done, sign it. It locks. Where the workspace uses directors, they see their people's weeks under Team and approve them there; the owner can approve from Team too. If something turns up later, the week can be amended, and the amendment is recorded alongside the original.

  • Signing completes the week; the signature is recorded with it.
  • Approval recorded from Team, by a director or the owner.
  • Amendments to a signed week are kept as a record of what changed and when.

History and CSV

Every past week and expense, filterable. Export what you filtered.

History is the long view: every expense across every week, with filters, and an Export CSV button that hands you exactly the rows you are looking at. When your accountant asks for "all fuel since March", that is one filter and one click.

  • Filters on History.
  • CSV export of the filtered list.
  • Past weeks listed on Reports, so a report can be pulled again.

Insights

Where the money goes, week over week.

Insights turns the weeks into a picture: total spent, spend by week, spend by category. Enough to notice the month fuel doubled without opening a spreadsheet.

  • Total spent across the range.
  • Spend by week.
  • Spend by category.

Questions

Three things people ask about the report.

Yes. Send us the workbook your accountant already expects, one cell per number. Every week then fills that workbook in: your rows, your columns, your totals, untouched. Until then, or instead, the house template is ready.

Next step

Have a workbook your accountant already expects?

Send it with your message and the first week comes out in it, one cell per number. No workbook yet? The house template is waiting.
